Job Summary:
Maple Bear School of Sofia is in search of a diligent and detail-oriented individual to join our team as a Finance Assistant. The successful candidate will play a key role in maintaining accurate financial records and supporting reporting processes. This position offers an exciting opportunity to contribute to the financial stability of our educational institution.

Responsibilities:

Financial Record Keeping:

  • Take charge of issuing revenue invoices for school fees and other income streams.
  • Assist in calculating the financial aspects of additional school activities, such as transport and food services.
  • Ensure accuracy in billing and timely distribution of invoices to parents.

Financial Operations Oversight:

  • Implement a robust system to track payments on income invoices from parents.
  • Send timely notifications to parents in delayed payments and coordinate with them for resolution.
  • Manage the school's treasury by tracking cash flows and monitoring expenditures.

Expense Tracking and Vendor Relations:

  • Maintain a systematic process for tracking and categorizing school expenses.
  • Review and process employee expense reports, ensuring compliance with policies.
  • Track income and expenses associated with these activities and ensure accurate invoicing.
  • Oversee the collection and tracking of expense invoices from various vendors.

Personnel File Management:

  • Maintain organized and up-to-date personnel files, including employment contracts and occupational medicine documentation.
  • Collaborate with the HR department to ensure all required documentation is appropriately stored.

Meal Voucher Administration:

  • Handle the application and distribution of meal vouchers for eligible individuals.
  • Ensure compliance with relevant regulations and maintain accurate records of voucher distribution.

Budget Assistance:

  • Assist in the preparation of annual budgets.
  • Monitor budget performance and communicate with relevant departments to ensure adherence.

Financial Reporting:

  • Generate regular financial reports for internal and external stakeholders.
  • Assist in the preparation of monthly, quarterly, and annual financial statements.
  • Prepare references and reports as required by internal and external stakeholders.

Cooperation with Accounting Firm:

  • Foster close cooperation with the external accounting firm.
  • Provide necessary documentation and information for financial audits and reporting.
  • Collaborate with the accounting firm to ensure accurate financial reporting.

Qualifications:

  • Bachelor’s degree in finance, accounting, or a related field.
  • Good understanding of accounting principles and practices.
  • Proficiency in using Microsoft Office Suite, especially Microsoft Excel.
  • Strong analytical and problem-solving skills.
  • Excellent communication skills, both written and verbal.
  • Ability to work both independently and collaboratively within a team.
  • Detail-oriented with a commitment to accuracy and meeting deadlines.
