The GATE Institute - Big Data for a Smart Society - is the first high-tech research and innovation centre in the field of Big Data and Artificial Intelligence in Bulgaria and Eastern Europe. It was established in 2019 as a research institute of Sofia University in partnership with Chalmers University of Technology and Chalmers Industrial Technologies, Sweden - European leaders in research and innovation in the field and leading strategic initiatives such as AI Sweden, AI Research Centre, AI Innovation of Sweden and Digital Twin Cities.

The institute aims to create a unique environment and infrastructure for applied research in the cutting-edge technology areas of Big Data and Artificial Intelligence and to become a globally competitive digital hub for innovation and its application to solve global problems in the areas of Future Cities, Digital Health, Smart Industry, Smart Government.

GATE is an initiative that invests in people, with a special focus on young and talented researchers. Its main goal is to develop significant scientific capacity and to inspire and cultivate the next generation of scientists and experts in the field of Big Data and Artificial Intelligence.

In conjunction with its planned intensive development in 2023, the GATE Institute is seeking a suitable candidate for the following vacant position:

 

Assistant to the Director of GATE Institute

 

Responsibilities

  • Organize and coordinate the day-to-day responsibilities of the Institute Director;
  • Takes care of the Institute Director's schedule and the organization of key meetings;
  • Plans and organizes external and internal meetings and events for the Director;
  • Responsible for travel and accommodation bookings for the Institute Director;
  • Takes minutes of meetings, prepares letters and other correspondence as required by the Institute Director;
  • Receives and makes telephone calls and relays messages;
  • Receive and transmit documents for signature by the Institute Director;
  • Greets and cares for guests and business associates of the Director and the Institute;
  • Handles incoming and outgoing correspondence on behalf of the Institute Director;
  • Assists in gathering materials and preparing presentations to assist the Director;
  • Undertakes the organization, administration and maintenance of all meeting materials, negotiations, bids, decisions, contracts and other directly related to the business of the Institute and the Director;
  • Collaborates actively with all company staff, provides generaladministrative assistance;

 

Requirements

  • Secondary or higher education in business administration or similar field;
  • Experience and/or willingness to pursue a career as an office assistant or personal assistant to the Director;
  • Confidentiality in the performance of duties and assigned tasks;
  • Excellent command in English, written and spoken;
  • Good computer skills and MS Office (Excel, Word, PowerPoint) proficiency;
  • Initiative, results-oriented approach and defined attention to detail;
  • Positive attitude and motivation to provide excellent administrative service to team members and the Institute's external partners;
  • Willingness to work in a small and efficient team and deliver results within tight deadlines.
  • Punctuality and professionalism.

Stages of the contest

1.The Selection Committee reviews the documents, submitted by the candidates and selects those meeting the requirements of the job, as described in the job profile. The selected candidates will be informed by 16.06.2023.

2.Interviews will be held with the selected applicants up until 30.06.2023.

3.All interviewed candidates will be notified in writing.

4.The successful candidate will be offered a labor contract.
