Currently we are looking for an Intern to join our highly motivated and inspired team in Zentiva as an Office Assistant – taking an active role from the daily HR and communication operations.

The main responsibilities of Office Assistant are focused on facilitating smooth functioning of the office, establishing professional contacts and coordinating office services such as accommodation, relocation, equipment and furniture; deliveries, forms, parking, maintenance, cleaning, security, etc. The role is responsible for the local communication and organization of events.

Responsibilities:

  • Keeping the incoming and outgoing correspondence of the company;
  • Reviewing and coordinating standard and new office procedures, operational and administrative activities;
  • Maintaining a list of necessary office supplies and their timely provision (copy paper, toner for all printers, fax and copier machines, drinks, coffee, etc.);
  • Organizing translations, preparing of various material and official documents, developments, projects, etc.
  • Organizing for certifications (apostille and legalization and notarization) for certain company documents, submission and receipt of documents from various institutions;
  • Organizing meetings, traveling schedules and team events - meetings, hotel reservations, organization of business meetings;
  • Organizing travel by booking accommodations and reservations as required;
  • Organizing various events;
  • Coordinating client reception;
  • Liaising with other agencies, organizations, and partners;
  • Maintaining the condition of the office and arranging for necessary repairs;
  • Organizing and maintaining the office layout and common areas;
  • Maintaining office and equipment supplies;
  • Using a range of office software, including email, spreadsheets and databases;
  • Recording office expenditure and managing the budget;
  • Establishing professional contacts - internal (with the administration and employees of the company) and external (with suppliers of office supplies, couriers, travel agencies, hotels, etc.);
  • Ensuring strict compliance with all deadlines and procedures in performing tasks.

 

Profile:

  • Be a student in 2nd - 4th year in university;
  • Computer skills, including Microsoft Office & Outlook;
  • Strong written and verbal communication skills in both Bulgarian and English language;
  • Strong analytical, teamwork, and organizational skills;
  • Integrity, maturity, dependability, a positive attitude, and enthusiasm in the performance of responsibilities;
  • Communication with Internal/external client experience;
  • Proactive.
